Invoicing a business client

In this article, we explain how to create an invoice for a business client.

How do I invoice a business client on BILLY?

When you create a new invoice, you can either select an existing client you've already invoiced or create a new one.

To create a business client — i.e. a natural person or legal entity registered with a commercial court — select "Self-employed/Company" in the "New client" window.

Client based in Belgium

If your client is based in Belgium, enter their company number and click the blue magnifying glass 🔍 — the rest of the information will be filled in automatically. You can then edit the name to make it clearer for you.

Client based in the European Union

VAT registered

Creating a European client works exactly the same way as creating a Belgian client. The European Union has a single company registration system called VIES, which allows you to identify a business in the same way regardless of its country.

VAT exempt

In this case, the VIES search will not work, but you can manually enter the information: name, address, company number (which will appear under the label "VAT" on the invoice, even if the client is not VAT registered). Entering their company number makes it possible to send the invoice via Peppol (even though this is not mandatory in this case).

Client based outside the European Union

For a company based outside the European Union, the database search does not work, so you will need to enter all the information manually 💻
