The steps π to create your invoice are indicated at the top of the screen. Once each step has been completed, validation is indicated by a colour change.
For an invoice to be valid, all the steps must be completed.
If one of the steps is not completed, you will not be able to finalise your invoice β
Complete my invoice
1οΈβ£ Personalisation
The first time you use the system, you can add your logo. It will then appear on every invoice. Your invoices will have your personal touch π
Does your customer require a particular reference? You can indicate this by giving your invoice a title.
π‘ The invoice number will be added automatically when you finalise the invoice.
You can also adapt your contact details via the "Modify my billing details" option. You can edit your email address as well as your postal address if it differs from the address of your registered office (by default this is the address used).
2οΈβ£ Customer
For simplicity's sake, use your customer directory via a drop-down list.
You can also create a new customer. Find out how at π¨βπ« if you bill other companies or individual customers.
Does your customer's name change or information need updating? You can change this information using the "change customer" button.
3οΈβ£ Lines
Lines are used to detail your services π©βπ¬ π¨βπ π¨βπ» You can create several lines to isolate lines that are not in the same category, that have different VAT behaviours or simply to specify in detail the services performed.
For a line to be complete, you must fill in each of the boxes: description, category, unit price, quantity and VAT.
bILLY offers a choice of VAT rates and features adapted to the nature and nationality of your customer.
The category is very important π
It impacts VAT: categories have different VAT options. For example, we do not apply any VAT to a disbursement and deposit.
Secondly, the category is useful for tracking your sales in detail. Do you have two activities or two types of customer? We recommend that you use two different accounting categories. You can then view the breakdown on the steering page π
4οΈβ£ Date
Select the date of your invoice at this stage π When BILLY handles your VAT returns, you cannot select a date that is part of a quarter that has already been declared. Nor can you select a date in the future.
To keep your situation up to date, we recommend that you issue your invoices regularly, dating them to the month in which your services were carried out.
π From a VAT point of view, the legislation states that invoices should be issued no later than the 15th day following the month in which the chargeable event occurred.
The due date corresponds to the payment period you require from your customer. By default, BILLY offers you a payment term of 30 days from the invoice date. You can change this by clicking on "Change due date".
On what date should I invoice for my August services if it's 3 September? I have chosen 31 August as my invoice date, not 3 September.
5οΈβ£ Options
A free comment can be added at the bottom of the invoice if you wish to pass on a message or indication to your customer.
BILLY offers legal notices by default (better safe than sorry π©Ή) but you can deactivate them. You can also specify personalised notices if you have any.
Finalising the invoice
All the steps completed, all that's left is to finalise the invoice! π
When finalised, a summary of the information is displayed, you can still edit the invoice at this stage by clicking on "Modify my invoice".
Is everything in order? You can validate and close the invoice. The invoice will then be :
Sent directly to your accounts. Your income will be updated in real time π
Downloaded so you can send it to your customer π§
