How do I categorise a transaction?

This article only concerns self-employed individuals. It explains how to choose the right category.

Suggestions and automation 🧠

BILLY intelligently categorises your transactions. Several situations:

A. We are certain of the category

In this case, we apply the correct category. If it's an Expense with invoice, then we link the corresponding invoice.

B. We're not sure about the category

If we're not sure, we'll suggest a category.

⚠️ If you detect a categorisation error, let us know via chat. This will enable us to improve the system.

C. We can't find a category

We haven't been able to find the category. So it's up to you to find it ✨

Transactions with or without linked invoices πŸ”—

Belgian accounting is based on documents. The Income Tax Code states thatan expense is deductible if it is based on a supporting document (art. 49 CIR). Most of your expenses are therefore supported by invoices. In this case, the category to select is Expense with invoice. You will then need to link the corresponding invoice πŸ‘‡πŸ»

For income, you select Income with invoice and then link the corresponding invoice.

πŸ’‘ If you have entered an invoice in your accounting for the selected transaction, the category will always be "Income with invoice" or "Expense with invoice". Otherwise you risk having duplicates.

Transactions not linked to an invoice

If you have not imported an invoice for your income or expense, then you have three options.

1. Post an income

β›” Only if you have not issued a sales invoice.

Otherwise, you will double-count the income: on the one hand, via the sales invoice, and on the other, via the payment categorisation.

2. Recording an expense

The choice of expense categories is deliberately limited to avoid errors. We have included the categories for which there are generally no invoices.

3. Classify outside income

The categories below have no impact on your income or expenditure (and therefore on your profit or loss). They are intended as a reminder to help you organise your accounts properly.
